Handing your property over to a management company can feel like a leap of faith. You have invested hundreds of thousands of dollars in your home, and now someone else is going to run it as a business. That is exactly why we built a structured 21-day onboarding process that keeps you informed at every step, requires very little of your time, and gets your property earning revenue as quickly as possible.
Here is exactly what happens from the day you sign with Casa Scotia to the day your first guest checks in.
Before We Start: The Discovery Call
Before onboarding officially begins, we schedule a 30-minute discovery call to learn about your property and your goals. We will ask about your property type and location, your availability preferences (whether you want to block personal-use dates), any existing bookings or listing history, and your revenue expectations. This call also gives you a chance to ask questions and make sure we are the right fit. There is no commitment at this stage. If we both agree to move forward, we send over the management agreement and onboarding begins the day you sign.
Week 1: Property Assessment and Setup (Days 1-7)
What Casa Scotia Does
- On-site property assessment: Our team visits your property within the first three days. We document the layout, photograph every room, assess the current furnishings and amenities, and identify any items that need attention before hosting guests.
- Professional photography: We schedule a professional photographer, typically within the first week. This includes interior shots, exterior and surrounding area photos, and seasonal shots if applicable. High-quality photography is one of the single biggest factors in listing performance. Properties with professional photos consistently outperform those with phone snapshots by 20-40% in booking rates.
- Amenity audit: We compare your current amenities against guest expectations for your property type and price point. A lakefront cottage has different expectations than a downtown Halifax apartment. We provide a specific list of recommendations, from essentials like quality linens and a coffee maker to nice-to-haves like a fire pit or kayaks.
- Cleaning team assignment: We match your property with a vetted local cleaning team and brief them on your property's specific requirements.
What You Need to Do
- Provide property access (keys or lockbox code)
- Share any existing booking calendar or platform logins
- Review and approve the amenity recommendations (typically 15 minutes)
Your estimated time commitment for Week 1: about 1 hour total.
Week 2: Listing Creation and Pricing (Days 8-14)
What Casa Scotia Does
- Listing copywriting: We write a compelling, SEO-optimized listing description that highlights your property's unique strengths. We do not use generic templates. Each listing is written from scratch based on our on-site visit.
- Multi-platform distribution: Your property goes live on Airbnb, Vrbo, Booking.com, and our direct booking site. We handle all platform setup, verification requirements, and cross-platform calendar synchronization so you never get a double booking.
- Dynamic pricing configuration: We set up algorithmic pricing using market data from comparable properties in your area. This includes seasonal adjustments, day-of-week pricing, event-based surges, and last-minute discount rules. Dynamic pricing typically generates 15-25% more revenue than fixed-rate approaches.
- House manual creation: We create a digital guest guide covering check-in instructions, Wi-Fi details, appliance guides, local recommendations, and emergency contacts.
What You Need to Do
- Review the listing draft and provide feedback (15-20 minutes)
- Confirm your blocked personal-use dates, if any
Your estimated time commitment for Week 2: about 30 minutes.

Calculate Your RevenueWeek 3: Go Live and First Bookings (Days 15-21)
What Casa Scotia Does
- Launch optimization: New listings on Airbnb and Vrbo get a visibility boost from the platform algorithms. We time our launch to take advantage of this window and may use an introductory pricing strategy to generate your first reviews quickly. Early reviews are critical for long-term performance.
- Guest communication setup: We configure automated messaging sequences for booking confirmations, pre-arrival instructions, check-in day details, mid-stay check-ins, and checkout reminders. All guest communication goes through our team, so your phone stays quiet.
- First booking management: When your first booking comes in, we handle everything: guest screening, payment processing, check-in coordination, cleaning scheduling, and post-stay review management.
- Owner dashboard access: You receive login credentials for your owner dashboard where you can view upcoming bookings, revenue reports, guest reviews, and maintenance updates in real time.
What You Need to Do
- Nothing. Seriously. At this point, the system is running.
Your estimated time commitment for Week 3: zero.
First-Booking Milestones
Most properties receive their first booking inquiry within 5-10 days of going live. Here is what a typical timeline looks like:
- Days 15-17: First inquiry or booking request
- Days 18-25: First confirmed booking (often 2-4 weeks out)
- Days 30-45: First guest stay completed
- Days 45-60: First review posted, pricing algorithm begins optimizing based on real data
- Days 60-90: Booking pace stabilizes, revenue trends become clear
Properties in high-demand areas like Halifax and the South Shore during summer months may see their first booking within 48 hours of going live. Shoulder-season launches in less trafficked areas take longer, which is expected and factored into our pricing strategy.
After Onboarding: Ongoing Management
Once your property is live, our ongoing management covers everything you would expect and several things you would not. Guest communication runs 24/7, not just during business hours. Cleaning is scheduled automatically after every checkout. Maintenance issues are triaged and resolved with your approval for anything above a pre-agreed threshold. Monthly revenue reports are delivered to your inbox, and your owner dashboard updates in real time.
Most of our owners tell us they spend less than 15 minutes per month on their rental property after onboarding. Some spend zero. The goal is for you to collect a monthly deposit and check your dashboard when you feel like it, not because you have to.
Total Owner Time Commitment
Across the entire 21-day onboarding process, most owners spend approximately 2 hours total. That breaks down to about an hour in Week 1 for the property visit and amenity review, 30 minutes in Week 2 for listing approval, and nothing in Week 3. After that, your ongoing time investment is effectively zero unless you choose to be more involved.
We designed this process specifically for owners who value their time. Whether you live in Nova Scotia or across the country, you should not have to become a hospitality expert to earn strong returns on your property.
